Step 5: Setting up Email

AWS has 2 email services. One is just for automated mass emails and the other is for the email humans read. We’ll be setting up the latter here, called AWS WorkMail.

  1. Standard Email Service with AWS WorkMail: This is a complete email box. Price: $4/month per mailbox. You would set up one mailbox per person in your company who needs a company email address.
    1. Why use this option?
      1. This is a MS Exchange Server replacement. (MS Exchange is expensive and needs a skilled administrator to run.)
      2. It provides encrypted email and calendar services as well as address book and shared resources functions like rooms or shared equipment.
      3. Users have their email on company resources not personal accounts.
      4. You can use any IMAP client (including Outlook and Gmail) to send and receive email.
      5. Limitations: SMTP limits (careful with bulk emails!), no external forwarding.
  2. How to set it up:
    • Create an Organization
    • Use the domain you set up before
    • Add users (Just add yourself for now.)
    • Note that you can use the webmail app or a stand alone email client – including Gmail.
      • Instructions for connecting Gmail (or your favorite email client) to your AWS WorkMail account.
      • Why? Because AWS Workmail has a VERY simplistic interface and Gmail has a more robust and universal way of interaction. The good news is that WorkMail can be accessed using the IMAP and SMTP protocols so you can use whatever email client you like with it.
      • Gmail is one choice but if you use Outlook, Windows Mail, Apple Mail, Thunderbird, or another IMAP compatible client, you can set that up to work with WorkMail.
      • You don’t need to though. You can always access WorkMail from the web interface.
      • Official documentation for this is here.
    • You can add “groups” for internal distribution lists or aliases if you like.
    • Add shared resources like projectors and boardrooms for shared scheduling as needed.
